300 and 400 Level Courses

300 and 400 level courses can now be officially submitted through ACETS to undergo transfer evaluations.

Regarding transfer to ASU Los Angeles

The scope of work for AZTransfer is within the state of Arizona.  It is not necessary to list every campus where degrees are available, especially those that are out of state. 

Community College bachelor’s degrees

We are not including the community college bachelor’s degrees on the Common Course Matrices at this time.

5 colleges are rolling it out in 2025, and the remainder are rolling it out in 2026.  NPC, AWC, Mohave, Yavapai, EAC

Can a course receive transfer credit/ direct equivalency in two different departments?


  • Both courses at the university level would also need to be equivalent.
  • This can work if the transferable courses are accepted as electives for multiple departments
  • Transfer evaluators award appropriate credit whether or not a course is listed in the CEG.

Difference between submitting entire course bank annually, submitting modified or new courses in ACETS, and CEG data files?

CEG data loads – get uploaded into the system – happens each Tuesday.  These files are the university CEG files, not community college files.
  • Example:  when we’ve had issues with a course not displaying in the CEG recently, we’ve found at least a handful of times that the ACETS evaluation was done BUT the university hadn’t coded it in their institutional system correctly.  Once they fixed that and the overnight Tuesday weekly upload occurred, the course displayed properly.
  • CEG course files – aka Course Bank updates – get updated in the Chatlines – as specified in the Handbook and Policy Manual.    

There are multiple ways for colleges to update their course bank information.
  • Chatlines > Edit Screens > #7 Edit CEG data
  • Submit the course for review in ACETS, where data gets merged in the CEG refresh process.
  • Submit a course bank file which gets loaded directly into the CEG (which is what big colleges like Maricopa do.)
  • Rebecca will give small colleges a recent copy of their CEG datafile upon request, for them to edit and update through one of the first two processes outlined above.  This allows them to go through the CEG to see where they have missing titles.  They can then update them via the web or submit a complete course bank file.

What to do if a course equivalency value has changed but the change is not reflected in the CEG:

The community college facilitator needs to work with their faculty to resubmit the course through ACETS and request a new evaluation.  The ACETS form would be the Modified Course Form if course content has changed.  There is a space to request/ suggest a specific equivalency.

When will community college bachelor’s degrees be added to the AZTransfer transfer tools?

The short answer is, they will not be added at this time.  The long answer is:  Within AZTransfer, the Steering Committee has agreed that tools and databases are built around the university degrees. Community and tribal college are transfer-sending institutions. They send transfer students to ASU, NAU, and UA. Even with the new community college bachelor’s degrees, the Steering Committee is not pursuing statewide transfer across all institutions at this time. In order to be a transfer-receiving institution, community colleges would need to be able to review the 16,000+ courses in the our statewide course bank and be positioned to have course equivalencies for courses from all the other AZ community colleges.

Do universities have additional information when reviewing exams?

No.  The community colleges and universities have the same access to the same exam information that is listed within the exam matrices. This information is published within the ATF dashboards that faculty can access at any time throughout the year to prepare for the ATF meeting. Faculty may reach out to their own facilitator/curriculum office is they need assistance in locating the exam matrices and info.

Case Study

Five institutions requested a SUN number for their Principles of Economics course.  Does one institution complete the SUN Action Form within ACETS, and point to the other four institutions?  Or does each institution have to complete the form for their own course?  Answer:  Each institution must complete the SUN Action Form for their own course to be evaluated and awarded the SUN number, and to receive the SUN designation in the CEG.
